Privacy Policy
1. Information we collect
- Account details — the username and email address you provide, and a securely hashed password.
- Study content — the notes, text and images you upload or paste so that we can summarise, transcribe (OCR) or otherwise process them for you.
- Usage & billing — your AI-page balance, records of AI actions, and payment references. Card payments are handled by Paystack; we never see or store your full card number.
- Technical data — basic server logs (such as IP address and browser type) kept for security and troubleshooting.
2. How we use your information
- To create and run your account and deliver the AI study features.
- To process purchases of AI pages and keep a record of your balance.
- To provide support and respond to your enquiries.
- To keep the service secure and to prevent fraud and abuse.
- To meet our legal obligations.
We do not sell your personal information, and we do not use your uploaded study content for advertising.
3. Who we share it with (operators & sub-processors)
We use trusted third parties only to provide the service. They process your information on our behalf and are bound to keep it secure:
- OpenAI — generates summaries, explanations and audio from the text you submit.
- Google Cloud Vision — extracts text from images you upload (OCR).
- Paystack — processes payments securely.
- Hostinger — hosts the website and database.
Some of these providers may process data outside South Africa. Where that happens, we rely on providers that offer protection comparable to POPIA. We may also disclose information if required by law.
4. How long we keep it
We keep your account information for as long as your account is active. Uploaded files and generated content are kept so you can access them in your editor until you delete them or close your account. We keep limited billing records for as long as the law requires. When information is no longer needed, we delete or de-identify it.
5. Your rights under POPIA
You have the right to:
- ask what personal information we hold about you;
- ask us to correct or update it;
- ask us to delete it, subject to any records we must keep by law;
- object to certain processing; and
- lodge a complaint with the Information Regulator (South Africa).

6. Security
We protect your information with measures such as password hashing, encrypted (HTTPS) connections and access controls. No method of transmission or storage is completely secure, but we work to protect your data and to respond promptly to any incident.
7. Cookies, sessions & analytics
We use a session cookie to keep you logged in. We do not use third-party advertising cookies or trackers.
To understand how the site is used, we keep basic, privacy-friendly visit statistics (such as which pages are viewed and approximate visitor numbers). Visitors are counted using a one-way hash derived from IP address and browser type — we do not store your raw IP address for this purpose, and these statistics are not used to identify you personally.
8. Children
ZA Study Assist is intended for students. If you are under 18, please use it with the consent of a parent or guardian.
9. Changes to this policy
We may update this policy from time to time. The “last updated” date above reflects the current version.
